Job Opening: Administrative Assistant (with Bookkeeping & Permitting Support)

Overview:
Wozniak Builders, a high-end residential construction company, is seeking a reliable and detail-oriented Administrative Assistant to join our team. This role supports daily office operations and plays a key role in light bookkeeping, permit tracking, and coordination with local building departments.
Key Responsibilities:
Manage office communications including phone, email, and scheduling
Maintain digital and paper filing systems for project records
Assist with data entry and reconciliation in QuickBooks or equivalent
Track and submit permitting applications and follow up with municipalities
Support Project Managers with subcontractor documents, contracts, and insurance
Help maintain accurate project records and client correspondence
Order office and jobsite supplies as needed
Requirements:
Proven experience in administrative roles (construction industry a plus)
Familiarity with basic bookkeeping tasks and software (QuickBooks preferred)
Strong organizational skills and attention to detail
Proficiency with Microsoft Office and Google Workspace
Ability to manage multiple tasks and meet deadlines
Professional communication and interpersonal skills
Preferred Qualifications:
Prior experience with construction permitting in the Great Tampa Bay Area
Knowledge of lien releases, COIs, and subcontractor onboarding
Familiarity with project management software (e.g., JobTread)
